Position Summary: Manages the administrative operations of the office to allow the Producers to spend more time in front of clients to grow his or her practice. Identifies and implements areas for improvement and development. Builds and maintains positive relationships with new and existing clients.
Essential Functions:
· Work with producer team to develop & implement business strategy for the practice
· Track and communicate business and production goals
· Communicate by phone and in person with clients and other associates
· Meet frequently with the Producer and interact with peers to keep abreast of workflow
· Manage and oversee all situations and conflicts involving clerical and administrative functions of the multi-producer practice including, but not limited to:
o Daily Operations
o Business Processing
o Client Account Service
o Client Relations
o Administrative staff supervision
· Recommend, Implement, and enforce administrative policies and procedures of the practice
· Communicate the administrative priorities of the practice
· Relieve Producer of administrative functions of the practice
· Manage administrative relations with clients including but not limited to:
o Design and creation of correspondence
o Reviews
o Business Processing
o Business Tracking
o Resolution
o Reports
o Service Items
o Appointment preparation
· Manage Administrative Staff including but not limited to:
o Supervision
o Prioritization
o Delegation of Tasks
o Enforcement of policies and procedures
o Conflict resolution
o Timecard/vacation/absence approval or other duties as assigned by supervisor
· Oversee the maintenance of the Producer’s database and calendar.
Other Functions:
· Back up team members as needed, if applicable
· Complete other duties as assigned by Producer/Supervisor
Minimum Job Requirements:
· Prior experience desirable
· Excellent communication skills, both written and verbal
· Excellent computer skills. Must have knowledge of Word, Excel, Outlook
· Must be able to work with different personalities
· Must portray a professional appearance and make our guests feel welcome.
· Must be highly organized, able to take direction, manage multiple tasks and meet deadlines
Preferred Specialized Knowledge, Licenses, etc.:
PA Life, Accident & Health license, FINRA Series 7 & 66 (or equivalent) licenses preferred or the commitment to obtaining within 12 months of start date.
Working Conditions:
· Office environment
· Sitting and standing for periods of time
· Prolonged use of computer
· Mobility required, frequent bending, lifting, stretching.

Able to lift 10 lbs. to 25 lbs.

Management: 5 years (Preferred)

License/Certification:

PA Life, Accident and Health Insurance License (Preferred)
FINRA Series 6, 63, 65, 7, 66 or equivalent license(s) (Preferred)
