The Financial Management Office provides leadership and oversight to the University and its constituents in planning, organizing, directing and controlling financial activities. It has direct oversight of Business Financial Services and the Office of Procurement. The Office is responsible for applying general management rules to the financial resources of the University while maintaining an attractive and safe environment for students, faculty, staff and the community and ensuring the educational mission of the University is fulfilled.
Description of Job
This position provides professional level management and administrative support to assist the CFO/Controller. This support requires project management and coordination, independent research and compilation, short- and long-term planning, and an extensive knowledge and appreciation of CSU Pueblo units and their responsibilities. Primary Duties Executive support:
Organizes and supervises all general support activities. Creates and revises office procedures, designs forms, develops record keeping and tracking methods as needed. Updates web pages, orders supplies, monitors the operation of office equipment and initiates work orders when necessary. Produces and prepares materials and reports for special projects and presentations.
Coordinates search and screen committees as appointed by the CFO/Controller for vacant positions within the division, providing administrative oversight and support as appropriate.
Prepares job offers in FileBound and tracks employee performance plans and reviews. Serves on internal committees as the official representative of the Financial Management Office.
Maintains a detailed calendar for the CFO/Controller, including scheduling appointments and accommodations for meetings and conferences. Notifies CFO/Controller of schedule changes, necessary information for meetings, and anticipated schedule conflicts.
Makes travel arrangements and initiates travel reimbursements.
Provides reception and intake services by screening incoming phone calls, correspondence, and visitors to determine the priority and urgency of posed issues.
Assists the Budget Director in initiating budget adjustments, coordinates budget trainings with various university units, and assists in budget document preparation.
Generates and disseminates, as directed, needed reports to campus units and maintains the accuracy and effectiveness of the Budget web page.
Other duties as assigned.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Bachelor’s degree from an accredited college or university.
Ability to develop working relationships with all colleagues and the general public while maintaining confidentiality and integrity.
Evidence of excellent communication and problem-solving skills.
Proficiency in the use of Microsoft, Word, Excel, and PowerPoint.
Skills to operate accounting and financial programs, spreadsheets, emails, etc.
Three years’ experience providing project, financial, or executive-level support.
Professional experience with budget and finance management.
Bachelor’s degree in Accounting or Finance.
Ability to manage multiple projects to a timely conclusion in a fast-paced environment with competing time demands.
Experience with Kuali, Banner and FileBound software programs.
Experience conducting research or writing reports that required analysis.
Experience in a position that required working with and maintaining highly confidential information.
Experience preparing presentations, speeches, and publications.
Experience working at a regional, comprehensive university with a high level of diversity represented in its students, staff, and faculty.
Condition of Employment
