Export Administrator & Local Export Control Officer Africa Job at Roche – in Randburg, Gauteng
To administer client orders and invoices and liaise with Global in the order and shipping process, to resolve customer order queries, to coordinate procurement administration and to monitor export compliance.
To process quotations by receiving the request, loading details into the system, generating the pro-forma invoice, and liaising with the customer to confirm orders daily.
To process orders by generating a purchase order with Global and confirm receipt daily.
To generate invoices by releasing on the system and forwarding to customers with supporting documentation as required.
To submit documentation for letter of credit payments by compiling information and submitting to the bank as required.
To coordinate customs clearance by receiving shipping notification from Global, preparing customs clearing documents and forwarding to customers as required.
To track shipments by receiving tracking information, following up on shipment movement and delivery times and communicate delivery dates to customers as required.
To conduct pre-inspections by liaising with inspectors to review shipments, receiving feedback, identifying anomalies and implementing corrective action as required.
To reconcile shipping notifications for imports by reviewing advanced shipping notifications with service provider stock received systems, identifying anomalies, investigating causes and implementing corrective action as required.
Customer Query Administration:
To resolve customer queries by understanding the query, investigating the cause and identifying the problem, preparing and logging claims and providing feedback to clients as required.
To resolve pricing claims by investigate the claim, identifying potential solutions, submit claims, liaise with Sales and service providers and communicate with the customers as required.
To monitor export compliance by understanding policy, monitoring compliance, identifying anomalies and implementing corrective action as required.
Local Export Control:
Ensure that the global and local organization is aware of and in compliance with national and international trade control regulations.
Implement the EC training program, deliver trainings, monitor the training performance, and keep training records.
Ensure that screening procedures and tools are used; enable the complete and timely screening of local business partners (and transactions if SAP GTS service is used).
Pay special attention to sales, exports/parallel exports, and trans-shipments of dual-use items, or of any item to sanctioned business partners; apply for export licenses at federal agencies if needed.
Oversee the routine usage of the standard EC contractual clauses.
Escalate issues to Management in any case of red flags on business partners, suspected misuse of items, non-compliance violations, or any local enforcement activities by federal agencies.

Qualifications & experience:
NQF 5 qualification in Import and Export Management, Logistics or similar
3 – 5 years experience in logistics administration
Must have knowledge of:
SAP Inventory/Logistics Modules
Microsoft Excel Intermediate
Inbound and outbound logistics
In the absence of relevant qualifications, experience in the relevant field and at the relevant level will be considered
