Your opportunity:
The Finance, Administrative Assistant is an integral member of a team of financial services professionals who work together to achieve excellent financial services in the Department of Civil & Mineral Engineering. The functional nature of the responsibilities within the Business Office team will provide the Administrative Assistant with exposure to many aspects of financial services and require the Administrative Assistant to support other team members as needed to achieve the goals of the Department. Under supervision of the Manager of Finance and Administration the incumbent assists faculty members, staff and students with administrative support services, financial and procurement services, research administration, and responding to general inquiries of the Business Office. The position provides administrative support to faculty and staff members related to teaching, research, administration and finance. Responsibilities include: payment and payroll transactions utilizing FIS, HRIS and RIS, auditing monthly statements; resolving discrepancies; expense reports, invoices, purchase orders, tracking grants, adhering to the University’s File Plan guidelines; preparing correspondence; word-processing support; maintaining non-appointed personnel files; photocopying and faxing documents; coordinating incoming and outgoing mail; ordering office supplies; liaising with Student Services and Research Services; acting as backup to other Business Office staff.

Your responsibilities will include:
Administering accounts for restricted funds

Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements

Handling sensitive and/or confidential information

Processing payroll

Tracking the financial status of accounts

Acting as the first point of contact for general enquiries

Writing routine documents and correspondence

Applying established standards to control the distribution of access to designated University spaces

+Essential Qualifications:
Advanced College Diploma (3 years) in Business Administration or acceptable combination of equivalent experience

Minimum three years related experience, preferably in a University setting

Strong working knowledge of FIS, HRIS and RIS

Excellent computer skills, including, MS Office Excel (including accurately entering data, creating and manipulating spread-sheets, working with formulas), Word (including word-processing and preparation of documents of varying complexity and technical writing/transcribing) and databases (Access) for retrieving and organizing data and information

Demonstrated experience of financial processing and skilled at resolving discrepancies, skilled at applying & interpreting GTFM and NSERC or similar grant guidelines and applicable University policies for procurement and human resources

Experience using financial accounting principles

Pay Scale Group & Hiring Zone:
USW Pay Band 10 – $61,846 with an annual step progression to a maximum of $79,088. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
