SCOPE / BUSINESS CONTEXT

A Full-Time position based at the Marriott Canary Wharf Hotel and Executive Apartments.

CANDIDATE PROFILE

Experience:
Previous experience working within a self accounting hotel in the following disciplines is desirable:

Accounts Receivable

Credit Control

General Ledger accounting experience to include month end responsibilities & Balance Sheet reconciliations.

Front Office

Reservations

Skills and Knowledge

Must possess a high degree of numerical literacy

Proven analytical skills

Must possess the ability to problem solve

Strong Communication & Negotiation skills (verbal, listening, writing)

Pro-active, reliable & must display an extremely high degree of integrity

Able to work alone and within a team

Flexibility of hours due to period end requirements

A thorough understanding of the relevant UK legislation impacting the payroll function

Education or Certification

Working knowledge of the English language is essential

Bachelor’s degree preferable but not a pre-requisite

SPECIFIC DUTIES

Accounts Receivable

Ensure City Ledger Invoices are received, checked for accuracy (rate, charges approved for bill back, company details etc), supporting documentation attached and sent out on daily basis.

Where applicable ensure City Ledger Invoices submitted electronically are processed on daily basis.

Verify all Marriott Bonvoy certificates against the invoices and transfer the charges onto the monthly Opera Marriott Bonvoy account.

Ensure that room nights granted against rewards are less than or equal to those mentioned in certificate.

Review all ‘P’ accounts in Guest Ledger daily working closely with Front Office, Event Management, Revenue Management and the London Reservations and Sales Offices to ensure accounts are current, all postings are correct, the correct rates are charged and relevant back up is obtained.

Deal promptly with any Guest Ledger and City Ledger balances that are in credit or have immaterial balances.

All deducted credit card and travel agency commissions should be properly identified and posted in Opera.

Check all Travel Agency Commission deductions to ensure the agreed rate has been deducted and have valid VAT invoice to claim back VAT on. Query any discrepancies with client.

Work closely with the Sales/Event Managers in ensuring that group master accounts are properly set up and that group deposits are received on time.

Reconcile applied advance deposits and promptly refund unused/unapplied advance deposits according to Marriott policy.

Credit Control

Maintain an efficient collection cycle in line with Marriott policy

Prepare any write-off requests attaching all necessary back up and obtain approval from the DOF and GM before posting the write-off in Opera.

Monitor and control all debt recovery, to include liaising with solicitors and attending court if necessary.

Maintain Bad Debt Write Off log summary and is reconciled against P&L and submit on monthly basis.

Maintain Bad Debt Write Off file documentation for all write offs.

Maintain Collection Key Performance Indicators of Aging Percentages and Days Credit Sales Outstanding (DCSO) are maintained within Marriott Standards.

General Cashier Duties

With a witness verify the key log and collect deposit envelopes from the drop safe. Verify record of envelopes deposited against the cash drop sheet and notify the Finance Supervisor, Assistant Director of Finance or Director (ADOF) or Finance (DOF) immediately if a deposit is missing.

In a secure and locked office open deposit envelopes, count cash, foreign currency and cheques and verify with cashier’s remittance reports.

Prepare a daily deposit discrepancy report/gig sheet noting procedural violations and cash discrepancies and distribute to appropriate management for corrective action. Maintain documentation of investigations on file.

Accounts Payable

Responsible for circulating invoices to relevant departments.

Audit all invoices to ensure that every invoice is accompanied by a valid purchase order, delivery note or service sheet where applicable and states the correct name of the operating company.

All Capital Expenditure Invoices are to be processed only on approval of the General Manager & Director of Finance. Ensure correct project coding is applied in PeopleSoft.

Ensure that invoices are processed in a timely & regular manner throughout the period.

Assist in maintaining a current purchase order system for invoices.

Income Audit

On a daily basis, closely audit the Opera trial balance for both properties and verify that there are no imbalances/control sums. Investigate any discrepancies and as necessary log calls with Symphony for resolution.

Sort and file all back up received in the night audit file/box from Night Receptionist/Manager. Read the night handover log and action if applicable. Liaise closely with Night Audit and review Night Audit work daily for accuracy.

Work closely with Front Office (FO) and Food & Beverage (F&B) to ensure postings are accurate and any discrepancies are resolved in a timely manner.

Monitor and ensure correct classification of all revenue with particular attention to miscellaneous revenues/rebates.

Recode Miscellaneous Revenue or Rebates as required and provide feedback to Department Heads of recurring misuse.

Balance witnessed General Cashier (GCR) deposit slips to bank statement and GCR report.

Follow up on FO reports like credit limit, rate check, upgraded and complimentary rooms and Housekeeping discrepancy report and forward in daily audit pack to ECM’s.

On a daily basis, audit key Food & Beverage revenue controls including open guest check and void check report (ensuring that all voided Micros checks are attached), discounts and package breakfast postings. Perform F&B audits on a regular basis.

On daily basis audit Laundry postings against Laundry slips to ensure all revenue is posted and accurate.

Accurately reconcile specific General Ledger accounts as assigned by the FOM, ADOF or DOF.

Update Electronic P&L (E P&L) on weekly basis during month, and daily at month end.

OTHER

Performs other related tasks as assigned by management.

Complies with Marriott International Hotels Limited Regional Office policies and procedures and make recommendations to improvements of policies and procedures.

Working hours as required to do your job but normally not less than 40 hours per week.
