Provide oversight of the Butler School of Music’s business office, to include managing all budgeting, accounting, payroll and procurement.

This position is eligible for a hybrid Flexible Work Arrangement (FWA) (on-campus and remote work) for the 2021-2022 academic year, though under normal circumstances this position will be on-campus the majority of the time. FWA arrangements are subject to manager approval and may shift due to changes in business needs.


Oversee financial disbursements: Review and approve Procard vouchers, Professional Payment Authorization documents, expense reimbursements, vendor payments, guest payments, faculty and staff travel reimbursements, and hourly payroll vouchers; Electronic approval of student hourly assignments.

Accounts management: Maintain and review account balances, balance forward analyses, funds transfers, transfers of payment due charges, transfer of funds, and transfer of expense charges; Establish and maintain faculty, operational, and miscellaneous allocations (Rainwater, BEF, Academic Equipment Fund, local accounts, gift accounts, Dean-funded allocations).

Purchasing: Process all faculty, staff, and student purchasing requests; Work with vendors to facilitate deliveries and to resolve delivery or invoicing issues; Procard custodian (receipt collection and expense reconciliation).

Accounts reconciliation: Daily review and verification of account charges and monthly certification of account expenses.

Preparation of annual budgets: Local and State budgets; Assist in the preparation of the soft budget.

Report Preparation: Monthly faculty and staff allocation expenditure reports (annual BEF expenditure report, HEADS report, update UT Box account allocations, local and gift accounts).

Student travel: Assist with ensemble and student travel, process hotel payments, vehicle rentals, student release forms, registration, insurance, travel grants, cash advances, etc.; maintain travel allocations.

Miscellaneous Duties: Process annual instrument insurance; Process express mail requests; Provide general accounting and purchasing consultation and support to faculty and staff; Authorize University vehicle drivers; Electronic office management; Process and facilitate equipment and instrument repair requests.

Supervision of one employee

Other related functions as assigned.

Required Qualifications

Bachelor’s degree in Finance, Accounting, Business Administration, or related field.

Six years of progressively responsible experience in finance or accounting with experience in planning, forecasting and financial analysis.

Ability to plan, initiate, and complete assignments with a minimum of direction.

Proficient in gathering, analyzing, and presenting financial data.

Conflict Management – Demonstrates an understanding of how to anticipate, recognize, and deal effectively with existing or potential conflicts at the individual, group, or situation level; ability to apply this understanding appropriately to diverse situations.

Decision Making and Critical Thinking – Able to demonstrate knowledge of the decision-making process and associated tools and techniques; able to accurately analyze situations and reach productive decisions based on informed judgment.

Effective Communications – Demonstrates understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.

Problem Solving – Demonstrated knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; history of applying this knowledge appropriately to diverse situations

Relationship Management – Demonstrated history of establishing and maintaining healthy working relationships with clients, vendors, and peers.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than five years of related experience.

Masters’ Degree, preferably in Finance, Accounting, Business Administration or related field.

Certified Public Accountant (CPA) – Texas State Board of Public Accountancy (TSBPA) – Texas State Board of Public Accountancy (TSBPA).

Prior supervisory experience.

Experience working in a university environment.

At least five years of experience at UT Austin.

Experience with university administrative systems such as *DEFINE, FRMS, Cognos, and Workday.

Salary Range

$70,000 + depending on qualifications
