Finance Team Administrator Job at BELAY – Corporate – in Remote

Job purpose

The focus of this role is to assist in the administration of the day-to-day operations of the Finance department for BELAY and provide executive assistant level support to the Director of Finance.

As a member of the BELAY Corporate Team, you are expected to participate in phone calls and meetings (virtual and onsite), while serving as an example of the company’s mission: BELAY exists to glorify God by providing solutions that equip our clients with the confidence to climb higher.

Duties and responsibilities

Collaborate with and help teammates while maintaining a positive and professional attitude; fostering teamwork.

Finance Administration

Manage Asana projects within the Finance department.

Assist with running necessary departmental reports when needed.

Manage corporate credit card programs (order cards, update limits, assist cardholders with any issues).

Assist with state tax record keeping.

Assist with monthly reporting – creating and running professional reports.

Executive Assistant support to Finance Director

Manage calendar and appointment setting including vetting, prioritizing, and providing recommendations for both professional and personal priorities while protecting the Director’s time and preferences.

Ensure all details are accounted for in advances such as appropriate time zones, addresses, contact information, notes, and agendas.

Plan for appropriate preparation time between meetings and events. Ensure all meetings are confirmed.

Executive travel coordination including air and ground transportation, hotel and meal reservations, inclusive of reminders and call ahead confirmations.

Manage email inbox and draft internal and external communications on behalf of the Director, while maintaining privacy and confidentiality. Manage solicitation emails. Respond to “good to know” emails.

Coordinate task management, Asana projects, research, professional development, meeting preparations, team gifting, and notes on behalf of the Director.

Assist with planning team meetings and outings.

File weekly expense reports.

Qualifications

Ideal candidates must be professional and poised as well as proactive, agile and confident in their abilities. Candidates must be comfortable with technology and applications, possess excellent written and verbal communication skills and demonstrate proficiency with Excel. A high degree of confidentiality is required due to access to sensitive information.

BA/BS degree or equivalent work experience.

General finance experience is preferred.

Must be driven self-starter, a positive thinker, loyal and trustworthy.

Attributes of flexibility, creativity, self-discipline, strong organizational skills, and action-orientation are essential for this role.

Strong verbal and written communication skills.

Team player who is willing and able to “roll-up the shirt sleeves” to get a project done when needed.

A high degree of autonomy with the capability of working remotely.

Working conditions

BELAY Corporate, as a virtual company, offers you the ability to work from home full-time. As such, a dedicated and secure work space, free of distractions is required. Our standard business hours are Monday-Friday. Some roles will require travel.

This role is a full-time, non-exempt W-2 role with our company. Hours will fluctuate between 30-40 hours per week.
